The law firm Martin & Seibert, L.C. seeks an experienced Legal Secretary for its Martinsburg , WV office. This position will be responsible for accurate completion of w! ork assigned by multiple timekeepers, including word processing functions, filing, client billing, time entry, using telephone equipment to answer incoming calls and to place outgoing calls, coordinating meetings and conference room services, arranging travel details, submitting expense reports, calendar maintenance and handling of daily mail. Also responsible for maintaining various information lists including client/matter identification numbers, contact lawyers and marketing mailing list. Legal secretaries must also maintain contact with clients, lawyers and all support staff. They must observe confidentiality on all client matters and adhere to procedures and guidelines set by all departments of the Firm.

Responsibilities include but not limited to:

  • Completing all word processing projects including, but not limited to letters, reports, legal memoranda and briefs, charts, spreadsheets, Power Point presentations, agreements, and other such doc! uments specific to the timekeepers' area of practice. Such wor! k may come from dictaphone, verbal dictation or edits on existing work product.
  • Assembling litigation documents for filing with State and Federal courts, including attachment of exhibits, cover sheets, certificates of service, summons, and cover letters including electronic filing in federal courts.
  • Coordinating and monitoring service of litigation documents
  • Calendaring deadlines in litigation matters
  • Proofreading of all work
  • Duplicating or scanning documents as necessary
  • Preparing and maintaining client and office files. Maintaining up-t o-date, orderly indices of pleadings, motions, notices, orders and documentary evidence
  • A nswering and screening of telephone calls
  • Accurate inputting of lawyer time into the billing system
  • Maintaining accurate and up-to-date databases such as contact list, client/matter numbers; and marketing mailing lists
  • S cheduling meetings and associated travel
  • Scheduling outside vendor services such as court reporters
QUALIFICATIONS
The ideal candidate will have a minimum of 5 to 7 years of litigation legal secretarial experience. Experience with civil litigation , and experience with electronic filing in federal courts is a plus. Strong secretarial skills including proficient typing; proofreading; spelling and grammar is required with proficiency in utilizing dictation equipment and electronic communication. High School diploma or its equivalent required. Must be proficient in using Microsoft Word and Outlook; Knowledge of Microsoft Excel and PowerPoint is a plus. Ability to organize and prioritize workload and use own judgment in decision making on how to adequately and efficiently meet all deadlines. Applicant must demonstrate a proven ability to take the initiative in handling projects and anticipating what needs to be accomplished as well as being able to understand and follow specific and detailed ins! tructions in oral and written form. The successful applicant must displ! ay a professional manner with clients, lawyers, paralegals and other staff members. Interpersonal skills are essential to communicate effectively with a diverse group of clients, lawyers and staff and to provide information with courtesy and tact. Consistent quality attendance and performance is mandatory. The candidate must be able to work under deadlines with significant dictation and paperwork involved.
