Responsibilities:
Retrieves and charges out records in the records database and delivers charged out files. Picks up and delivers records and re-files going to the Records Room or off-site storage as necessary. Re-shelves returned active files.
Orders records/files/boxes (via fax, phone or online) from offsite storage vendor.
Maintains storage records and tracks re-files sent back to offsite storage vendor.
Maintains accurate organization and equal distribution of records in Central Records Room to include physically shifting and moving folders, redwelds and boxes as needed for retrieval and basic records center maintenance.
Organizes/maintains in numerical order properly identified files and boxed records in the Firms open client-record storage. Enters applicable location information in records database.
Assists legal staff in tracking and locating! missing charged-out client records and retrieving from open and closed filing systems information from or about specific record contents.
Prepares reports for printing and review by legal staff using database query functions.
Files all correspondence and documents in files located in the file room or off-site storage accurately and promptly.
Enters and removes items from the on-site or off-site Vault Storage system. Updates information in records database.
Processes large client cases for closing to include reviewing records to make sure they are organized properly and entering information into ERMS.
Processes client, personal and Firm records for closing, according to the Firms records retention policy.
Creates bar-coded label for open and closed records.
Ensures accountability of client and personal records for attorneys and paralegals departing the Firm including charge-out, open, close, vault documents and personal records.
Assists in th! e administration of client, business and attorney personal records rete! ntion, schedules, including destruction, safeguards the confidentiality of all client and business records.
Works with members of the legal staff to transfer client records outside of the Firm.
Provides group and/or one-on-one training to new or existing secretaries as needed.
Performs functions necessary for maintenance of records inventory (audit) by electronic scanning of barcodes or updating database directly.
Participates in weekly scheduled telephone/conference call with supervisor.
Handles special projects and tasks as assigned by a Records Room Coordinator, Records Supervisor or the Records Manager.

Qualifications:
EDUCATION/WORK EXPERIENCE:
Requires one year certificate from college or technical school; or one to two years clerical records management experience and/or training; or equivalent combination of education and experience
Law firm experience helpful

KNOWLEDGE, SKILLS AND ABILITIES:
! Ability to work overtime as needed
Type 45 wpm
Ability to work with all levels of employees

Excellent proofreading skills
